Legal Bases for Processing
We process your personal information only where we have a legal basis to do so under GDPR. Depending on the context, this may include:
- Contract – To provide the services you request as a member of the HELLO Community, including creating and maintaining your account, enabling community features, and processing payments where applicable.
- Legitimate Interests – To operate, secure, and improve the Site; to support community interactions; to prevent fraud or abuse; and to communicate with you about community-related matters in a way that does not override your rights and freedoms.
- Consent – For certain optional activities such as specific email subscriptions, participation in programs (e.g., MentorMatch), or posting certain types of personal information (e.g., photos, extended bio). Where we rely on consent, you may withdraw it at any time via your profile settings or by contacting us.
- Legal Obligations – To comply with applicable laws, regulations, and legal processes (for example, retaining certain transaction records for tax or accounting purposes).
Your Data Protection Rights
Subject to certain conditions and exemptions under GDPR, you have the following rights with respect to your personal information:
- Right of access – To obtain confirmation of whether we process your personal data and, if so, to receive a copy.
- Right to rectification – To request correction of inaccurate or incomplete personal data. In many cases you can update this directly in your profile.
- Right to erasure (“right to be forgotten”) – To request deletion of your personal data in certain circumstances (for example, where it is no longer needed for the purposes for which it was collected, or where you withdraw consent and there is no other legal basis for processing).
- Right to restriction of processing – To request that we restrict processing of your data in certain situations (e.g., while we verify its accuracy or assess an objection).
- Right to object – To object to processing based on our legitimate interests, including certain types of profiling. We will stop processing unless we have compelling legitimate grounds that override your interests, rights, and freedoms, or the processing is needed for legal claims.
- Right to data portability – To request that we provide certain personal data to you (or to another controller) in a structured, commonly used, machine-readable format, where technically feasible.
- Right to withdraw consent – Where processing is based on your consent, you may withdraw that consent at any time. This will not affect the lawfulness of processing carried out before withdrawal.
To exercise any of these rights, please contact us using the details provided above or through the Contact Us form. We may need to verify your identity before fulfilling your request.
International Data Transfers
The HELLO Community and its hosting and service providers may be located outside the EEA/UK/Switzerland, including in countries that may not provide the same level of data protection as your home jurisdiction.
Where we transfer personal data from the EEA/UK/Switzerland to a country that is not subject to an adequacy decision by the European Commission or UK Government, we will rely on appropriate safeguards, such as Standard Contractual Clauses (SCCs) or equivalent legal mechanisms, to protect your data.
You can contact us for more information about these safeguards.
Complaints to Supervisory Authorities
If you have concerns about how we handle your personal information, we encourage you to contact us first so we can try to resolve the issue.
You also have the right to lodge a complaint with your local data protection authority. If you are in the EEA, this is typically the authority in the country where you live or work, or where you believe your rights were infringed. In the UK, this is the Information Commissioner’s Office (ICO).
Changes to This Privacy Policy
We may update this Privacy Policy from time to time.
- If we make material changes that affect how we use your personally identifiable information compared to what was stated at the time you joined, we will notify you by email (to the address associated with your account) and/or by posting a prominent notice on the Site.
- Changes that do not materially affect the use of personally identifiable information may be posted directly to the Site.
We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information.
